This policy explains how AquaShelter handles information across the website, fishkeeper dashboard, shop tools, AI-assisted diagnosis flows, billing, support, and app features.

Privacy Policy

Information Collection

We collect account, shop, fishkeeper, tank, diagnosis, image, billing, support, and technical information needed to operate AquaShelter.

Use of Data

Your information helps us provide fish diagnosis, treatment safety checks, dashboards, customer workflows, subscriptions, support, security, and product improvements.

AI Diagnosis and Uploads

Symptoms, fish photos, test strip images, and tank context may be processed by AquaShelter and AI infrastructure such as Google Gemini, Google Cloud, or Vertex AI.

Third-Party Sharing

We do not sell personal information. We share only what is needed with providers such as Stripe, Apple, Google services, hosting, email, analytics, security, and connected shops.

Cookies and Sessions

Cookies and similar technologies support login sessions, CSRF protection, language or preference handling, checkout continuity, security, analytics, and campaign measurement where enabled.

Security Measures

We use reasonable safeguards including access controls, password hashing, session protection, provider security controls, backups, and operational monitoring.

User Rights

You can request access, correction, deletion, export, restriction, or objection where applicable law gives you those rights, subject to legal, billing, security, audit, and backup limits.

We may update this policy as AquaShelter, providers, pricing, app features, legal requirements, or business operations change.

Short version: AquaShelter does not sell personal information. We collect the information needed to run aquarium accounts, AI-assisted fish diagnosis, treatment safety checks, shop/customer workflows, subscriptions, support, security, analytics, and product improvement.

1. Who We Are

AquaShelter is operated by Abload Ltd. In this policy, "AquaShelter", "we", "us", and "our" refer to AquaShelter and Abload Ltd.

Our production website is https://aquashelter.uploadforsoftware.com. Some older app identifiers, backend paths, or technical records may still refer to AquaKeeper while the product transition continues.

2. Scope

This policy applies to the AquaShelter website, public pages, diagnosis tools, fishkeeper accounts, shop owner accounts, shop dashboards, customer case workflows, contact and support forms, billing flows, email verification, and AquaShelter/AquaKeeper app features.

It should be read together with our Terms of Use and Refund Policy.

3. Information You Provide

We collect information you choose to submit, which may include:

  • Account details such as name, email address, password hash, verification status, Google sign-in profile data, shop name, business details, phone number, country, language, and dashboard settings.
  • Fishkeeper records such as tank names, inhabitants, water parameters, maintenance tasks, expenses, reminders, shop associations, and notes.
  • Diagnosis inputs such as symptoms, tank type, water readings, species, affected livestock count, selected treatments, tank creatures, test strip images, fish photos, full-tank photos, and related case notes.
  • Shop/customer workflow data such as customer names, emails, phone numbers, fishkeeper codes, shared diagnosis requests, case status, follow-up notes, and shop logo or profile images.
  • Contact, support, demo, refund, and commercial enquiry messages.
  • Billing and subscription information such as plan, trial status, Stripe customer or subscription identifiers, Apple subscription status, invoice email, payment status, and renewal or cancellation metadata. We do not intentionally store full card numbers.

4. Photos, Uploads, and Aquarium Data

When you upload fish, tank, test strip, avatar, or shop images, we process those files to provide identification, diagnosis, tank monitoring, account display, support, and product safety features. Uploaded images may be stored on our hosting infrastructure and linked to your account, device identifier, tank, diagnosis, or shop workflow where needed.

Please do not upload images or notes containing unnecessary personal information, private documents, payment details, or other sensitive content unrelated to aquarium care.

5. Diagnosis, AI, and Safety Logs

AquaShelter uses AI-assisted intake to understand symptoms, images, and water-test context, then combines that output with aquarium disease data, rules, and treatment safety checks. AI may help normalize symptom text, extract signals from fish or test strip images, review candidate diagnoses, and generate clearer result explanations.

Diagnosis records may include raw inputs, normalized symptoms, extracted image observations, water readings, species context, database matches, safety checks, confidence or match-strength labels, credit usage, runtime provider, model metadata, token or cost metadata, errors, timestamps, and related operational logs.

We keep these records to provide history to users and shops, audit safety decisions, improve reliability, debug failures, prevent abuse, manage credits, and support customers. AquaShelter output is informational decision support and is not a substitute for a veterinarian, laboratory test, aquatic specialist, or emergency advice.

6. Information Collected Automatically

We and our providers may collect technical data such as IP address, browser type, device type, operating system, app version, page views, referrers, session cookies, security events, error logs, performance data, approximate location inferred from IP address, and usage events.

This information helps us keep the service secure, maintain sessions, prevent fraud and abuse, diagnose bugs, understand product usage, measure campaigns where enabled, and improve performance.

7. Cookies and Sessions

The website uses cookies and similar technologies for essential functions such as login sessions, CSRF protection, account routing, language or preference handling, security, and billing or signup flow continuity. We may also use cookies or similar identifiers for analytics and advertising measurement where enabled.

You can control cookies through your browser settings. Some account, checkout, diagnosis, or dashboard features may not work correctly if essential cookies are blocked.

8. Third-Party Services

AquaShelter uses third-party providers to operate the product. Depending on the feature you use, these may include:

  • Google Gemini, Google Cloud, or Vertex AI for AI-assisted symptom, image, and diagnosis processing.
  • Google OAuth for optional Google sign-in, including email and profile information returned by Google.
  • Stripe for web SaaS trials, checkout, subscriptions, invoices, billing status, and payment processing.
  • Apple App Store and Apple in-app purchase systems for app distribution, purchases, subscriptions, cancellations, and refunds.
  • Email delivery providers for verification codes, magic links, password resets, and service messages.
  • Hosting, database, storage, security, monitoring, analytics, advertising, crash reporting, and support providers.
  • Where enabled in the app or campaigns: Firebase, Google Analytics, Crashlytics, Remote Config, Google AdMob, Meta/Facebook SDK services, OneSignal, or OpenAI-powered legacy/app image features.

These providers process information under their own terms and privacy policies. We share only the information reasonably needed for the relevant service function.

9. How We Use Information

  • Provide fishkeeper accounts, shop accounts, dashboards, public pages, diagnosis, identification, treatment safety checks, tank tracking, reminders, and support.
  • Create, verify, secure, and manage accounts, passwords, Google sign-in, sessions, customer access, credits, and shop/customer relationships.
  • Process trials, subscriptions, invoices, cancellations, refunds, plan access, taxes, and billing support.
  • Store and display diagnosis history, customer cases, tank records, uploaded images, and follow-up context where the product needs it.
  • Improve disease matching, AI prompts, safety rules, product quality, reliability, documentation, and customer workflows.
  • Detect abuse, spam, fraud, security threats, unauthorized access, payment misuse, and service instability.
  • Comply with legal, tax, accounting, platform, App Store, payment-provider, and regulatory obligations.

10. Shop and Customer Visibility

If a fishkeeper connects to a shop, uses a shop code, accepts a shop relationship, or submits a case through a shop workflow, relevant case details may be visible to that shop. This can include contact details, tank context, diagnosis inputs, diagnosis results, uploaded images, status, and follow-up notes so the shop can support the customer.

Shop owners are responsible for using customer information lawfully, getting any required customer permission, limiting staff access, and not uploading or disclosing customer data without authority.

11. Sharing, Selling, and Tracking

We do not sell personal information. We may share information with service providers, payment processors, app platforms, AI infrastructure providers, hosting and email providers, analytics or diagnostics providers, professional advisors, legal authorities, or connected shops where needed to run AquaShelter or comply with obligations.

We do not knowingly share personal information with data brokers. If advertising or app measurement tools are enabled, they may process identifiers or usage data according to their own privacy terms and any consent or platform controls that apply.

12. Retention

We keep information for as long as needed to provide the service, maintain accounts, show diagnosis and customer history, support billing, meet legal or tax obligations, resolve disputes, audit safety decisions, prevent abuse, and improve the product.

Some records, such as billing records, security logs, diagnosis audit logs, fraud-prevention records, backups, and legally required accounting data, may be retained after account closure or deletion requests where permitted or required by law.

13. Security

We use reasonable technical and organizational safeguards, including access controls, password hashing, session protection, provider security controls, backup practices, and operational monitoring. No online service is perfectly secure, so you should use strong passwords, protect your account access, and avoid submitting unnecessary sensitive information.

14. International Processing

AquaShelter is operated by Abload Ltd and uses providers that may process information in countries other than your own, including the United Kingdom, Egypt, the United States, the European Economic Area, or other locations where our providers operate. We rely on appropriate legal bases and provider safeguards where required by applicable law.

15. Your Choices and Rights

  • You can choose what account, tank, diagnosis, image, shop, and contact information you submit.
  • You can update some account, shop, tank, and profile information from the dashboard where controls are available.
  • You can manage cookies through your browser and app notifications through device settings.
  • You can manage Apple subscriptions through your Apple account settings and web SaaS billing by contacting us or using available billing controls.
  • You can request access, correction, export, deletion, restriction, or objection where applicable privacy law gives you those rights.
  • You can ask us to close an account or review uploaded data, subject to legal, billing, security, audit, and backup limitations.

16. GDPR, UK GDPR, and EEA/UK Users

Where GDPR or UK GDPR applies, our lawful bases may include contract performance, legitimate interests, consent, legal obligation, and protection of the service from abuse or fraud. Our legitimate interests include operating AquaShelter, securing accounts, improving diagnosis quality, supporting shops and customers, preventing misuse, and understanding product performance.

You may have rights to access, rectify, erase, restrict, port, or object to processing. You may also have the right to complain to your local supervisory authority.

17. California and Other US Privacy Rights

Where California or similar US privacy laws apply, the categories of personal information we may collect include identifiers, contact information, commercial information, internet or device activity, approximate location from IP address, user-generated content, images, support communications, and inferences needed to operate or improve the service.

We use these categories for the business purposes described in this policy. We do not sell personal information. To exercise applicable rights to know, access, correct, delete, or opt out of certain sharing where required, contact us using the details below.

18. Children

AquaShelter is not directed to children under 13 and is intended for aquarium hobbyists, shop owners, and adult account holders. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it where required.

19. Changes

We may update this policy as AquaShelter, providers, pricing, app features, legal requirements, or business operations change. The updated date at the top shows when this version took effect. Continued use of the service after an update means the updated policy applies.
