This policy explains how AquaShelter handles information across the website, fishkeeper dashboard, shop tools, AI-assisted diagnosis flows, billing, support, and app features.
Short version: AquaShelter does not sell personal information. We collect the information needed to run aquarium accounts, AI-assisted fish diagnosis, treatment safety checks, shop/customer workflows, subscriptions, support, security, analytics, and product improvement.
AquaShelter is operated by Abload Ltd. In this policy, "AquaShelter", "we", "us", and "our" refer to AquaShelter and Abload Ltd.
Our production website is https://aquashelter.uploadforsoftware.com. Some older app identifiers, backend paths, or technical records may still refer to AquaKeeper while the product transition continues.
This policy applies to the AquaShelter website, public pages, diagnosis tools, fishkeeper accounts, shop owner accounts, shop dashboards, customer case workflows, contact and support forms, billing flows, email verification, and AquaShelter/AquaKeeper app features.

When you upload fish, tank, test strip, avatar, or shop images, we process those files to provide identification, diagnosis, tank monitoring, account display, support, and product safety features. Uploaded images may be stored on our hosting infrastructure and linked to your account, device identifier, tank, diagnosis, or shop workflow where needed.
Please do not upload images or notes containing unnecessary personal information, private documents, payment details, or other sensitive content unrelated to aquarium care.
AquaShelter uses AI-assisted intake to understand symptoms, images, and water-test context, then combines that output with aquarium disease data, rules, and treatment safety checks. AI may help normalize symptom text, extract signals from fish or test strip images, review candidate diagnoses, and generate clearer result explanations.
Diagnosis records may include raw inputs, normalized symptoms, extracted image observations, water readings, species context, database matches, safety checks, confidence or match-strength labels, credit usage, runtime provider, model metadata, token or cost metadata, errors, timestamps, and related operational logs.
We keep these records to provide history to users and shops, audit safety decisions, improve reliability, debug failures, prevent abuse, manage credits, and support customers. AquaShelter output is informational decision support and is not a substitute for a veterinarian, laboratory test, aquatic specialist, or emergency advice.
We and our providers may collect technical data such as IP address, browser type, device type, operating system, app version, page views, referrers, session cookies, security events, error logs, performance data, approximate location inferred from IP address, and usage events.
This information helps us keep the service secure, maintain sessions, prevent fraud and abuse, diagnose bugs, understand product usage, measure campaigns where enabled, and improve performance.
The website uses cookies and similar technologies for essential functions such as login sessions, CSRF protection, account routing, language or preference handling, security, and billing or signup flow continuity. If a fishkeeper connects to a shop, uses a shop code, accepts a shop relationship, or submits a case through a shop workflow, relevant case details may be visible to that shop. This can include contact details, tank context, diagnosis inputs, diagnosis results, uploaded images, status, and follow-up notes so the shop can support the customer.
Shop owners are responsible for using customer information lawfully, getting any required customer permission, limiting staff access, and not uploading or disclosing customer data without authority.
We do not sell personal information. We may share information with service providers, payment processors, app platforms, AI infrastructure providers, hosting and email providers, analytics or diagnostics providers, professional advisors, legal authorities, or connected shops where needed to run AquaShelter or comply with obligations.
We do not knowingly share personal information with data brokers. If advertising or app measurement tools are enabled, they may process identifiers or usage data according to their own privacy terms and any consent or platform controls that apply.
We keep information for as long as needed to provide the service, maintain accounts, show diagnosis and customer history, support billing, meet legal or tax obligations, resolve disputes, audit safety decisions, prevent abuse, and improve the product.
Some records, such as billing records, security logs, diagnosis audit logs, fraud-prevention records, backups, and legally required accounting data, may be retained after account closure or deletion requests where permitted or required by law.
We use reasonable technical and organizational safeguards, including access controls, password hashing, session protection, provider security controls, backup practices, and operational monitoring. No online service is perfectly secure, so you should use strong passwords, protect your account access, and avoid submitting unnecessary sensitive information.

We rely on appropriate legal bases and provider safeguards where required by applicable law.
Where GDPR or UK GDPR applies, our lawful bases may include contract performance, legitimate interests, consent, legal obligation, and protection of the service from abuse or fraud. Our legitimate interests include operating AquaShelter, securing accounts, improving diagnosis quality, supporting shops and customers, preventing misuse, and understanding product performance.

AquaShelter is not directed to children under 13 and is intended for aquarium hobbyists, shop owners, and adult account holders. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can review and delete it where required.
We may update this policy as AquaShelter, providers, pricing, app features, legal requirements, or business operations change. The updated date at the top shows when this version took effect. Continued use of the service after an update means the updated policy applies.
